Installation Coordinator
We are looking to add an Installation Coordinator to our world class Scheduling & Dispatch Team. If you’re looking for a fast paced work environment with growth opportunity then we look forward to hearing from you. This is a work at home position with occasional visits to our Hicksville, NY office.
- To maintain effective communication between Top Class Installations personnel, Customers and the Installation Technicians. In addition, to ensure the Installation Technicians maintain a high level of service to the end users.
- Relationship management with GPS Manufacturer Partners, ensuring fast response times, conflict resolution, direct customer contact, scheduling, and appointment follow-up.
- Liaise between our Installation Team, GPS Manufacturer Partners, and Customers.
- Create installation quotes, determine Installation Technician allocation and assignments, project management and client follow up.
Responsibilities
- Manage customer/GPS provider incoming and outgoing calls and emails in a friendly, professional and knowledgeable manner.
- Maintain and update daily high-volume GPS portals and databases.
- Create schedules based on short-term and long-term needs and notice.
- Work under pressure of deadlines.
- Pay attention to detail and troubleshoot scheduling issues that may arise. The Installation Coordinator position requires you to be able to handle many scheduling scenarios at once.
- Create and maintain customer/technician schedules with an emphasis on optimizing location, service hours and availability.
- Coordinate, schedule, input and log all customer interaction, information, communication and dispatch activity utilizing Top Class’ software systems.
- Follow up and coordinate with all customers and GPS providers in a timely manner.
- Dispatch and communicate detailed instructions to our technicians.
- Installation Coordinator position requires open and effective communication with colleagues, employees, customers and providers.
- Initiative to complete duties promptly and assist other office staff as needed
- Monitor and communicate appointment progress, alert sales team to success or failure of scheduling effort, maintain strict adherence to customer contact timeline, clear and timely documentation of progress, and ensure high standard of service and professionalism from our external partners.
- Perform other special projects or duties when required
What We're Looking For:
- Previous Customer Service or Project Management experience.
- Monday – Friday schedule 8AM - 5PM.
- Willingness to share ideas on improving the customers experience at Top Class Installations
- Stellar people skills – working with B2B clientele and team members
- Impeccable phone manner and written communication skills
- Exemplary computer skills – including Microsoft Excel, Word, Outlook
- Positive attitude and loves helping achieve a solution for customers
- Attention to detail and ability to multi-task
- The ability to listen effectively
- Must be self-motivated, able to work independently and organized
- Possesses strong interpersonal skills as well as good decision-making skills
Full Time Salary
$28,000 – $38,000 per year
